1. Who we are
This Privacy Policy is issued by Kaizen Crest Services LLC, a Utah limited liability company doing business as Sheen Exterior Co. ("Sheen," "we," "us," or "our"). Our mailing address is 7533 S Center View Ct, Ste N, West Jordan, UT 84084. You can reach us at info@sheenexterior.com or 385-513-8388.
2. What this policy covers
This policy explains how we collect, use, share, and protect personal information when you:
- visit sheenexterior.com or any page, form, client portal, or link we operate under that domain (the "Site");
- request a quote, book a quote visit, or receive a quote from us;
- become a customer and use the client portal, a job status link, or a photo report;
- call our business line, including when our AI assistant answers;
- exchange text messages or emails with us;
- are a business contact we reach out to about our commercial services; or
- apply for a job with us.
This policy does not cover the practices of other companies, including Google, Stripe, or your mobile carrier. Their own policies apply to their services.
3. Information we collect
Information you give us. When you use the Site, book a visit, accept a quote, use the portal, or contact us, we collect what you choose to provide, which may include: your name; phone number; email address; the address of the property to be serviced; property details such as size, surfaces, access instructions, and gate codes; photos you upload; the service you want; your preferred dates; messages you send us; your business name, title, and billing contact if you are booking for a business, homeowners association, or property owner; and, if you apply for a job, your application materials.
Payment information. When you pay online by card or bank account, you enter those details on a page or form hosted by Stripe, Inc., and we do not receive your full card number, card security code, or full bank account number. We receive and keep a payment token, the last four digits and expiration date of a card or the last four digits of a bank account, the payment amount, and the payment status. If you pay by check, we keep the check information our bank requires.
Information created when we do the work. During a quote visit or service visit we create records about the property and the job, which may include: before-and-after photos of the areas we service; a checklist of the work performed; the cleaning methods and products used; square footage and measurements; notes about property conditions; the wash-water handling record we keep to show compliance with stormwater rules; and the time and location of our technician while traveling to and working at your property. The live "on my way" link shows the location of our technician, not yours.
Calls, recordings, and transcripts. Calls to and from our business line may be recorded and transcribed, including calls answered by our AI assistant (see Section 5). We keep recordings, transcripts, the caller's phone number, and the time and length of the call.
Text messages and emails. We keep the content, date, and time of text messages and emails between you and us, and records of when and how you agreed to receive text messages and when you opted out.
Information collected automatically. When you use the Site or portal, our systems record technical information such as your IP address, browser and device type, operating system, the pages and links you open, the date and time of each request, and error reports if something breaks. We use cookies and similar technologies that are needed to run the Site and portal, such as keeping you signed in, protecting forms from abuse, and remembering security settings. We may also use product analytics tools, run for us by a service provider, to understand how visitors use our pages, for example which steps of the booking form are completed, and error-monitoring tools to detect and fix problems. We do not currently use advertising cookies, retargeting pixels, or cross-site advertising trackers. If we add analytics or advertising tools that work differently from what this paragraph describes, we will update this policy before we use them.
Address lookups. When you type an address into a form on the Site, what you type, your IP address, and device information are sent to Google Maps Platform so that it can suggest and validate the address. Google uses that information as described in the Google Privacy Policy at policies.google.com/privacy. Pages that include a Google map or a Stripe payment form may allow Google or Stripe to set their own cookies under their own policies.
Information from other sources. For commercial prospects, our sales staff may collect business contact information, such as a property or facility manager's name, title, business phone, and business email, from company websites, directories, professional profiles, and referrals.
4. How we use information
We use personal information to:
- respond to your inquiry, schedule and confirm a quote visit, and prepare and send a written quote;
- perform the services you hire us for, plan our routes, and assign technicians and subcontractors;
- create and deliver photo reports, checklists, and compliance records for your property;
- create and manage your portal account and confirm your identity when you claim it;
- bill you, process payments, send invoices and receipts, and collect amounts owed;
- send service messages by text, email, or phone, such as confirmations, reminders, "on my way" alerts, quote links, photo reports, invoices, plan notices, and a request to review our service;
- send promotional emails where the law permits, each with an unsubscribe link;
- contact business decision-makers, such as property and facility managers, by phone or email about our commercial services, and stop when asked;
- keep records required by law or listed in Section 9, including tax records, wash-water records, and messaging consent records;
- protect the safety of our staff and customers, prevent fraud and abuse, secure our systems, and enforce our agreements;
- analyze customer, revenue, and service metrics and improve our services, staff training, and the Site;
- share information with our parent company, Kaizen Crest Group LLC, and companies under common ownership with us, for administration, accounting, and shared services under this policy;
- evaluate, finance, and carry out a merger, acquisition, financing, or sale of all or part of our business; and
- comply with law, respond to lawful requests, and establish, exercise, or defend legal claims.
We do not sell personal information. A transfer in a business transaction described in Section 6 is not a sale. We do not share personal information with third parties for their own marketing, and we do not currently use personal information for targeted advertising.
5. AI phone assistant and call recording
When you call 385-513-8388 and we cannot answer in person, an artificial intelligence (AI) assistant may answer. At the start of every call it tells you that you are speaking with an AI assistant and not a person, and it tells you again whenever you ask whether you are speaking with a person or with AI. It can describe our services, take your address, service request, and preferred callback time, and create a booking request for us. It does not quote prices for your property, and nothing it says about price is a binding quote. If you would rather speak with a person, say so at any time and it will take a message for a callback, or you can text or email us instead. If you ask in a text or email whether you are communicating with AI, we will tell you.
A notice that the call may be recorded plays at the start of every call we receive that is recorded or answered by our AI assistant, and our staff give the same notice at the start of any recorded call they place. Calls may be recorded and transcribed for quality, staff training, and booking accuracy, and to keep a record of what was said. Our AI assistant transcribes every call it answers in order to work and cannot turn that off. If you do not want your call recorded or transcribed, hang up and text or email us instead, or ask for a callback from a member of our staff, who will not record the call if you ask.
The technology providers that run the AI assistant process your voice and the transcript on our behalf under written terms. We configure those providers, to the extent their settings allow, not to use your calls to train their models. Recordings and transcripts we keep are stored in accounts we control.
6. How we share information
We share personal information only as described in this Section 6.
Service providers. Companies that process information on our behalf, limited to what each needs to do its job. They include providers of: web hosting and content delivery; database, file storage, and sign-in services; payment processing (Stripe); transactional email delivery; business telephone and text messaging; AI services that help us answer calls, transcribe and summarize requests, draft messages, and prepare quotes; address validation and mapping (Google); product analytics and error monitoring; accounting and bookkeeping software; debt collection; and domain and network security. Our contracts limit service providers to using personal information to provide services to us, except that some providers, including Stripe and Google, also use certain information as independent businesses under their own privacy policies, for example to prevent fraud, secure their services, and comply with law. We configure AI service providers, where the provider allows it, not to use your information to train their models.
Subcontractors. If we ever use a subcontractor for part of a job, we give them only the address, access notes, contact details and scope they need. Subcontractors are bound by written agreements that limit their use of your information to performing the work.
Affiliates. Our parent company, Kaizen Crest Group LLC, and companies under common ownership with us, for the purposes in Section 4 and under this policy.
Professional advisers. Our accountants, bookkeepers, auditors, insurers, and lawyers, under a duty of confidentiality, when needed to run the business, prepare taxes, handle a claim, or obtain advice.
Legal and safety. When we reasonably believe disclosure is required by law, subpoena, court order, or a government request; to enforce our agreements; to protect the rights, property, or safety of Sheen, our staff, our customers, or others; or to investigate fraud or a security incident.
Business transfers. If we sell, merge, finance, or reorganize all or part of our business or assets, including a group of customer accounts or service agreements, or are evaluated for such a transaction, personal information may be disclosed to the prospective or actual buyer, investor, or lender and their advisers under confidentiality obligations, and may be transferred as part of the transaction. The recipient must use information collected before the transfer consistently with this policy unless you agree otherwise.
Public display. Photos of the areas we serviced, edited as described in Section 7, and reviews you have posted publicly.
At your direction. For example, when you ask us to send a photo report to a property owner or board, or when a property manager asks us to share a status link with an occupant.
Mobile information. This paragraph applies despite anything else in this Section 6. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, except the telephone, messaging, and data hosting providers that deliver our texts or store these records on our behalf; our lawyers, insurers, and auditors under a duty of confidentiality when needed to establish, exercise, or defend legal claims; a successor to our business that continues the same text messaging program; or as required by law.
7. Your choices
Text messages. Reply STOP to any text from us to stop receiving texts, or tell us by phone or email at the contacts in Section 1. Our SMS Terms at sheenexterior.com/legal/sms explain what we text and how to opt in and out. Our text messaging program does not send promotional text messages.
Emails. Every promotional email we send includes an unsubscribe link. Service emails, such as quotes, confirmations, invoices, plan notices, and photo reports, are part of our services and continue while you are a customer.
Calls and do-not-call requests. You can ask us to stop calling you at the contacts in Section 1. We keep an internal do-not-call list, check sales calls against the National Do Not Call Registry, and honor do-not-call requests within 10 business days. Our written do-not-call policy is available on request. We do not place outbound calls using an AI or prerecorded voice without your prior consent. If you have a pending booking or an unpaid invoice, we may still contact you about it by the other methods you have given us.
Photos of your property. We may use before-and-after photos of the areas we serviced in our gallery, proposals, social media, and advertising. For homes, we take reasonable steps to remove or blur house numbers, license plates, people, and other details that would identify the address or its occupants. For business and association properties, we take reasonable steps to remove or blur people, license plates, logos, and signage, and we do not name the business, association, or owner, unless you give us permission in writing (email is enough). If you tell us you do not want photos of your property used for marketing, we will stop using them in new materials and will remove them from our website and social media accounts within 30 days. Photos we keep as job records are not affected (see Section 9).
Reviews and testimonials. We will not use your name, likeness, or words as a testimonial in our advertising without your written permission. We may display or link to reviews you post publicly on Google or another platform, as they appear there.
Cookies. You can block or delete cookies in your browser or use a content blocker, but the portal and forms need their necessary cookies to work.
8. Access, correction, deletion, and export
You may ask us, at any time and free of charge, to:
- confirm whether we hold personal information about you and give you access to it;
- correct information that is inaccurate;
- delete personal information we hold about you; and
- provide a copy of the information you gave us in a portable format.
Email your request to info@sheenexterior.com, call 385-513-8388, or write to us at the address in Section 1. We will confirm your identity before acting on a request, which may include sending a code to the phone number or email we have on file. We will respond within 45 days, and we will tell you if we need up to 45 more days for a complex request. We will not deny you services or charge you a different price because you made a request.
We may decline all or part of a deletion request where we need the information to complete a service you asked for; to perform or administer an active quote, plan, or service agreement, including one for the organization you work for; to bill or collect an amount owed; to keep records required by law, or the tax, job, payment, wash-water, and messaging consent records listed in Section 9 for the periods stated there; to handle a dispute or claim; or to maintain security. When we decline, we will tell you why.
We offer these choices to everyone, regardless of where you live. If a state privacy law gives you additional rights, we will honor them. You may appeal a decision by replying to our response and saying that you appeal, and we will reconsider it and respond within 45 days.
9. How long we keep information
We keep personal information only as long as needed for the purposes in Section 4, and then delete it or remove the details that identify you. Typical periods:
| Category | Typical retention |
|---|---|
| Booking requests and records of prospects who do not become customers | 36 months after our last contact, except do-not-call requests |
| Do-not-call requests | At least 5 years after the request |
| Quotes; service agreements and notices under them; job records (including job photos, checklists, and technician time and location records kept with the job); invoices; and payment records | 7 years after the agreement ends or the last transaction, whichever is later |
| Wash-water handling records | At least 5 years after the job |
| Live technician location shown on a status link | 24 hours |
| Call recordings and transcripts | Up to 24 months, except that a recording or transcript containing a consent to receive texts or calls is kept with the consent record |
| Text and email message content | 5 years, except that messages forming part of a quote, agreement, notice, invoice, or dispute are kept with those records |
| Messaging consent and opt-out records | At least 5 years after the last message |
| Portal account and sign-in records | While the account is active, plus 12 months |
| Site analytics, technical logs, access logs, and error reports | Up to 12 months |
| Job applications | 12 months after the position is filled or the application is withdrawn |
Photos edited under Section 7 so that they no longer identify a property or person are not personal information and may be kept. Deleted information may remain in our backups until they are overwritten on their normal schedule, and in our service providers' systems under their own retention schedules. Information subject to a legal hold is kept until the hold ends.
10. Security
We use administrative, technical, and physical measures designed to protect personal information, such as encryption in transit and at rest, access limited to staff and providers who need it, role-based permissions, single-use sign-in codes that expire, and regular backups. Quote and job status links use long random addresses and open without a password so that you can share them; status links do not show gate codes, access instructions, prices, or payment details. No method of storage or transmission is completely secure, and we cannot guarantee absolute security.
If we discover a breach of system security involving personal information and misuse has occurred or is reasonably likely to occur, we will notify affected individuals and, where required, government authorities, as required by Utah Code Title 13, Chapter 44 and any other applicable law.
11. Children
The Site and our services are intended for adults. We do not knowingly collect personal information from anyone under 18. If you believe a minor has given us personal information, contact us and we will delete it.
12. Do Not Track and Global Privacy Control
We do not currently sell personal information, share it for targeted advertising, or track you across other websites, so there is nothing for a Do Not Track or Global Privacy Control signal to turn off. If that changes, we will treat a Global Privacy Control signal as a request to opt out.
13. Links to other services
The Site links to services run by others, including Google (reviews and maps), Stripe (payment and billing pages), and social media. We do not control those services, and their privacy practices are their own.
14. Changes to this policy
We may update this policy from time to time. We will post the new version on the Site with a new "Last updated" date. If a change materially affects how we use or share information we already hold, we will notify current customers by email or text before the change takes effect, and we will not use information we already hold in a materially different way than this policy described when we collected it unless you agree.
